Deferrals, Refunds, and Reassessments

We understand that life can be unpredictable and that your personal circumstances & needs may change. Our goal in setting out these policies for cancellations, deferrals, and re-assessments is to maintain a consistent, transparent, and fair process for both you and London Pilates Academy.
This document clearly outlines exactly how and when we accept course cancellations and transfers, the fees associated with deferring your attendance, and the terms for assessments and course validity. You'll also be provided with an electronic copy of our full Policies in your Welcome Pack upon enrollment, and you will need to agree to these terms before securing your in-person training days. Please read these policies carefully before purchasing.

Our dedicated tutors and team are committed to helping you achieve your learning goals. We strive to maintain high standards of professional behavior and will support your journey whenever possible. We ask that all students contribute to a positive and effective learning environment by extending the same mutual respect to our staff. To ensure a professional environment for everyone, we reserve the right to review or cancel contracts in cases where our team is not treated respectfully.

Cancelation & Refund Policy (Courses & Bundles)
1. The Cooling-off Period
  • If you cancel a course within the 14-day Cooling-off Period and have not accessed any course content, you are entitled to a full refund of all monies paid, minus any applicable credit card processing fees.
  • Please Note: The cooling-off period only applies to courses purchased outside of 30 days of the first in-person course day. Courses purchased within 30 days of the first in-person course day are not eligible for a refund under any circumstance.
  • Please Note: Accessing the course content is considered the start of your studies and voids your eligibility for a full refund under the Cooling-off Period policy.
  • Your refund will be processed within 14 days of your written request for cancellation.


2. Cancellations Within 30 Days
  • For any cancellation request submitted in writing within 30 days of enrollment, a refund will be issued, excluding a £250 Enrollment Fee. This fee applies if you have already begun your studies or if the request is made after the initial 14-day Cooling-off Period. The fee covers all administrative, registration, and payment processing costs.
  • Please Note: Course enrolments made within 30 days of the first in-person course day are not eligible for a refund under any circumstance.


3. After 30 Days of Enrollment
  • We are unable to offer any refunds for cancellations requested more than 30 days after the date of enrollment (the date of purchase when access to all online content is provided).

4. Enrollments Close to Class Start Date
  • Important: If you enroll in a course within 30 days of the first in-person class, no refunds will be available for cancellation.

Payment Plans
At LPA, we understand the importance of offering flexible payment options to enable broader access to high-quality Pilates education. For this reason, we offer interest-free payment plans at no additional cost. To make these payment plans possible, the following terms apply:

Payment Management 
Your monthly invoice date is set at the time of purchase. Subsequent payments will be taken on this date each month; please note that this date cannot be updated once the plan has started.It is your responsibility to ensure valid payment details are on file. If you receive a new card or anticipate an issue, please update your details via the 'Account' tab within the ‘Me’ section of the LPA website prior to your next scheduled payment. Detailed instructions can be found in our Payment Plan Notice, located within the resources section of your course. Once a plan has commenced, installments must be made consecutively until the balance is cleared. We are unable to offer payment pauses/holidays.

Failed Payments & Reinstatement
If a payment is unsuccessful, our processor (Stripe) will automatically attempt to collect the installment five times over several days. An automated email is sent after each failed attempt with a link to update your details. If the payment remains unpaid after these attempts, your plan will lapse. This will result in loss of access to online course content and tutor support.We will endeavor to contact you to get your plan back on track; however, a payment plan can only be reinstated once. If a second lapse occurs, the full remaining balance of the course must be paid in full before access is restored.

Attendance at in-person sessions
You must have an active, up-to-date payment plan or be paid in full to attend any in-person sessions, including scheduled course dates and practical assessment days. We reserve the right to cancel your place at an in-person session if your payment plan has lapsed prior to the event.

Certification
Certificates will only be released once the full balance of the specific course has been paid. For those on bundles, the individual course must be paid in full to receive that specific certificate, though the entire bundle balance does not necessarily need to be cleared first

In-person Course Deferral Policy (Courses & Bundles) 
WE ARE COMMITTED TO RUNNING ALL ADVERTISED COURSES AS SCHEDULED AND MAINTAINING A HIGH STANDARD OF TRAINING. TO ACHIEVE THIS, HOWEVER, WE MUST PLAN IN ADVANCE AND ENSURE ALL RESERVED STUDENT PLACES ARE USED AS ORIGINALLY PLANNED.

DEFERRAL PROCESS AND FEE
IF YOU NEED TO DEFER YOUR ATTENDANCE TO A LATER COURSE INSTANCE, YOU MUST NOTIFY US IN WRITING NO LATER THAN 30 DAYS BEFORE THE START OF THE COURSE. ALL DEFERRALS ARE SUBJECT TO A DEFERRAL FEE TO SECURE THE NEXT AVAILABLE DATES.
THIS FEE COVERS THE ADMINISTRATIVE COSTS ASSOCIATED WITH THE TRANSFER PROCESS, RE-ADVERTISING YOUR SPACE, AND HONORING OUR FINANCIAL AND CONTRACTUAL OBLIGATIONS TO OUR TEAM AND SUPPLIERS, EVEN IF THE SPACE CANNOT BE FILLED.

DEFERRAL FEES
THE FEE STRUCTURE DEPENDS ON THE TYPE OF COURSE AND WHEN THE DEFERRAL REQUEST IS MADE IN RELATION TO THE START OF THE IN-PERSON DAYS.

Within 30 Days Prior to Course Start
We only offer deferrals within 30 days of the course start date under two exceptional circumstances. In these instances, a Deferral Fee will apply to secure your new course dates:
  1. Sickness that prevents course participation, provided a doctor's note from a licensed medical doctor is submitted no later than 12 hours before the course begins.
  2. Bereavement.

Limit on Deferrals
Course deferrals may be made only once for any reason.


Course Structure, Validity, & Assessment (Courses & Bundles) 
In-Person Course Attendance
All days of the in-person course must be completed in sequential order. There is no option to attend missed days by joining future course instances.
If the course is cancelled by the London Pilates Academy, you will be given the option to either defer your place to a later date or receive a full refund.

Travel planning and booking to and from all in-person sessions (training and assessments) is the sole responsibility of the learner. While we always aim to communicate venue details promptly, LPA cannot be held liable for any costs or delays resulting from travel issues. This includes non-attendance due to unforeseen circumstances beyond our control, such as industrial action or severe weather. If the session goes ahead as planned, our standard non-attendance fees will still apply. 

Assessments and Fees
The course price includes one attempt at each required assessment

Practical Assessment Rescheduling: Scheduled practical assessments must be cancelled or moved with a minimum of 30 days' notice. Failure to do so will incur a £100 cancellation fee.

Reassessment Format: Students participating in in-person assessments may be required to complete any reassessments via livestream or recorded submission if referred.

Course Validity and Extensions
Your course validity period begins on the date of enrollment (the date of purchase when access to all online content is provided).
  • Single Courses: 12 months from enrollment date
  • Bundles: 24 months from enrollment date

Course Extensions
 
A 12-month course extension may be granted following the expiry of your initial validity period for an Extension Fee:
  • Full Pilates Teaching Qualification/Reformer Courses: £250
  • Perinatal/Exercise Referral Courses: £75
  • Multiple Course EXTENSIONS: £250

The Extension Fee includes limited access to course tutorial videos and a single 15-minute call with a tutor to discuss outstanding requirements. One-to-one tutor time is not available with this extension.

Courses may only be extended once for any reason.


Workshops & one-off classes
For our workshops and one-off classes, we often partner with third-party suppliers in addition to our internal team. This collaboration ensures we bring you the most relevant and up-to-date knowledge.
Therefore, our related policies are carefully crafted to effectively manage any last-minute changes and ensure the continued successful operation of these specific types of workshops.

Refund and Cancellation
Within the 14-Day Cooling-off Period: If you cancel a workshop within the 14-day Cooling-off Period, you are entitled to a full refund of all monies paid, minus any applicable credit card processing fees.
Outside the Cooling-off Period: If you cancel a workshop outside of the 14-day Cooling-off Period, we are unable to offer a refund.

Deferral
If you need to postpone your attendance, you may defer your place to a different, upcoming workshop within 12 months of the original scheduled date. A £25 Deferral Fee is required to secure your new place.

Please note: We cannot guarantee that the specific workshop you wish to attend will be offered again in the future.
